How to Onboard NDIS Participants Without the Paperwork Chaos
The moment a new participant is referred to your organisation, a compliance clock starts running. Service agreements need signing. Health information needs capturing. Support needs need documenting. And somewhere in the middle of all of that, someone needs to make sure the participant actually feels welcomed rather than processed.
Why Onboarding Is a Compliance Event, Not Just an Admin Task
NDIS Practice Standards require that providers verify participant identity, document support needs, and have a signed service agreement in place before service delivery begins. In organisations that manage onboarding manually, these steps happen in different places, owned by different people, and completed at different times. The result is a participant who is receiving services before their records are complete, which creates an audit exposure that is entirely preventable.
The onboarding process is also the first impression your organisation makes on a participant and their family. A disorganised intake experience, where the same information is asked for multiple times, where documents get lost, where nobody is sure who is responsible for the next step, communicates something about how your organisation operates.
Two Paths Into the Platform
We Care Cloud supports two distinct onboarding pathways. The first is direct entry by an administrator, who creates the participant record manually across the platform's multi-tabbed profile form, capturing everything from referral date and contact details through to health information, disability type, and informal support arrangements.
The second pathway is the online referral system. An administrator sends a unique registration link to the prospective participant or their representative via email. The participant self-completes a six-step online form covering all the same information. Once submitted, the record appears in the Online Referrals list for administrator review. The administrator checks the data, makes any necessary corrections, and clicks Accept to move the participant into the main Participants list as an active record.
Self-Referral Means Fewer Data Entry Errors and Less Back-and-Forth
The participant or their representative enters their own information directly. The administrator reviews and approves. No transcription errors, no missing fields from a phone call.
The Six Steps That Build a Complete Participant Profile
The online referral form walks the participant through six structured sections: reference details, personal and contact information, informal support and decision makers, mainstream and community support, disability and health information, and support needs. Each section is designed around the data that NDIS providers are expected to have on file and that auditors will check against service delivery records.
By the time an online referral is accepted, the participant profile already contains the foundation of everything the care team needs to plan and deliver appropriate support. The administrator does not need to chase missing information. It was captured at the point of intake.
What Happens After Acceptance
Accepting a referral into the platform is the beginning of the onboarding process, not the end. Once the participant record is active, the care team needs to add the service agreement, upload participant documents with their relevant expiry dates, configure invoice settings if required, and assign the participant to the relevant support workers through the rostering module.
Each of these steps is connected within We Care Cloud. The participant record sits at the centre, and every other module, roster, case notes, invoicing, documents, incident reports, accesses and updates it from the same source of truth. Nothing needs to be entered twice.
The Status That Controls Everything
Every participant in WCC carries a status of either Enabled or Disabled. Only participants with an Enabled status can have staff assigned to their shifts and invoices generated against their service agreements. This is a compliance control that prevents services being delivered or billed against a participant whose record is not complete and verified.
When a participant is no longer receiving services, setting their status to Disabled removes them from active rostering and invoicing without deleting their historical records. The compliance history remains intact and auditable indefinitely.
