How to Handle NDIS Shift Gaps Without Compromising Participant Safety

No matter how carefully a roster is built, shift gaps happen. A support worker calls in sick. A family emergency arises. A car breaks down at 6am. The operational question is not whether these situations will occur. It is whether your organisation has a structured process to handle them, or whether every gap triggers the same reactive scramble.

The Cost of a Reactive Response

When there is no structured process for managing shift gaps, the responsibility falls entirely on whoever happens to be available at the time. Usually that is a coordinator or manager, who then spends the first part of their day on the phone and hoping someone responds quickly. Even when cover is found, there is no formal record of who was approached, who declined, and why the replacement was selected.

What a Structured Approach Looks Like

A structured shift gap response begins at the rostering stage, not the moment the gap appears. When each shift is built with a designated cover staff member assigned alongside the primary worker, the first escalation step is already planned.

When cover is unavailable, the shift manager can broadcast the vacancy as an open shift to a selected group of support workers through the platform. Staff receive an email notification and see the open shift on their dashboard. They respond with acceptance or rejection, and the shift manager reviews all responses through the Pending Shift Requests view before approving the successful applicant. Every step in this process produces a record.

The GPS Check-In Layer

One of the gaps in reactive shift management is the lack of confirmation that a replacement worker actually arrived at the participant's location. WCC's mobile app captures GPS location at clock-in and clock-out for each shift. This is configurable per participant. The check-in timestamp and GPS coordinates are recorded every time a support worker starts a shift, stored in the Employee Swipes log, and searchable by staff member, swipe type, and date.

Temporary Staff Visibility

When a shift is filled by a support worker who is not a regular team member, coordinators need to identify this at a glance in the roster. WCC includes a "Is Temporary Roster Staff" flag in each user profile. Staff with this flag active are visually highlighted in the roster view, distinguishing them from permanent team members during busy periods when multiple shifts are being managed simultaneously.

After the Shift: Documenting What Actually Happened

A shift covered by a replacement worker still requires a completed case note from that worker. The case note obligation does not change based on how the shift was filled. WCC's automated enforcement applies to all finalised shifts regardless of which staff member delivered them. The replacement worker is bound by the same three-hour reminder and 24-hour lockout rules as any other support worker.
